Cancellation, Transfer and Refund Policy
Understand what you're agreeing to and protect your investment with trip insurance
Our terms and conditions are based on time-tested industry standards and a conviction that they must be fair to Wildland guests and to Wildland.
Especially we ask you to notice that the closer a cancellation is to the trip start date, the smaller the eligible refund becomes. Capacities are limited, so every spot is irreplaceable. The closer to the start date that a guest cancels, the more difficult it is to fill that spot. Within 30 days of the start, no refund or trip credit is offered because at that point it is very unlikely the reservation can be replaced.
Important Note: We strongly encourage all guests to understand the terms below. We do not stray from these agreements under any circumstances, so please consider purchasing trip insurance to protect your travel investment.
PAYMENT SCHEDULE
- $250 per person deposit is required to secure your spot*.
- The final balance is due 60 days prior to your trip start date.
- Full payment is due at the time of booking for day hikes and for multi-day trips starting 60 days or less from today.
Final acceptance of any participant is subject to receipt and review of all required forms, documents, and payment.
*Exceptions to the $250 deposit include Inca Trail Classic, Extended Inca Trail, and Short Inca Trail ($300 deposits) and Phantom Ranch Tours ($500 deposits).
Guest CANCELLATION, Transfer AND REFUND POLICY
Multi-day Trips
The Following is Applicable to Participant Cancellation of a Multi-Day Trip:
- If a Participant (or Participant Group) cancels a Reservation for any reason 60+ days from the Trip Start Date, a full refund minus $50 per person will be issued if Participant cancels within 10 days of his or her first payment. After 10 days from Participant’s first payment, Wildland will retain a $100 per person cancellation fee.
- A Participant (or Participant Group) may transfer their reservation to a different Trip 60+ days from the Trip Start Date one time without penalty. Each transfer thereafter (if still 60+ days from the Trip Start Date) will incur a transfer fee of $100 per person.
- If a Participant (or Participant Group) cancels or leaves a Trip for any reason between 59 and 46 days from the Trip Start Date, Wildland will issue a refund or transfer equal to 50 percent (50%) of the total Participant Trip cost.
- If a Participant (or Participant Group) cancels or leaves a Trip for any reason 45 days or fewer from the Trip Start Date or once the Trip has begun, there will be no refund, Trip credit or transfer issued.

*Inca Trail Classic, Extended Inca Trail, and Short Inca Trail: these trips have a minimum $200 per person cancellation/transfer fee in addition to administrative fees. This is due to non-refundable and non-transferable trail permit fees made on guests’ behalf made immediately upon booking.
Day Trips
The Following is Applicable to Participant Cancellation of a Day Trip:
- If a Participant (or Participant Group) cancels a Day Trip for any reason with 48 hours’ notice to Wildland of the cancellation, Wildland will issue a 50% refund of Participant Trip cost. No refund will be issued if Wildland is notified of the cancellation within 48 hours of the day of the Day Trip.
If Wildland Cancels a Trip
The Following Policy is Applicable to All Trips:
Wildland reserves the right to cancel any Trip for the following reasons, including but not limited to failure to meet the Participant minimum on a specific Trip, loss of scheduled staff for a specific Trip due to injury or illness, and unforeseeable significant damage to or loss of Wildland equipment or inventory necessary for a Trip. If Wildland cancels a Trip due to such reasons, a refund of the total amount paid by each Participant, including the deposit, will be provided.
Wildland is not responsible for additional expenses incurred by Participant related to preparing for, travelling to and from, or participating on the Trip including non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc. Wildland strongly recommends that Participant purchase travel insurance with appropriate coverage for such potential losses related to a Wildland Trip cancellation.
Force Majeure: In the event Wildland is unable to perform its obligations and Trip or reservation is cancelled because of acts of God, extraordinary or destructive environmental conditions, weather events, or natural disasters; strikes; equipment or transmission failure or damage reasonably beyond its control; pandemic or outbreaks of sickness or disease or other public health emergencies; terrorism, war, sabotage or vandalism; accident, civil disorder or riots within the Wildland’s operating areas; public land closures, or other causes reasonably beyond its control, AND NO ALTERNATE ITINERARY IS AVAILABLE, A FULL TRIP CREDIT WILL BE ISSUED EQUAL TO THE FULL AMOUNT PAID BY THE PARTICIPANT MINUS ANY NONREFUNDABLE EXPENSES INCURRED BY WILDLAND. REFUNDS ARE NOT OFFERED IN THESE SITUATIONS.
TRIP ITINERARY CHANGES AND ALTERNATE TRIPS
All Wildland Trips are subject to itinerary changes based on a variety of circumstances beyond our control, including, but not limited to permit or campsite availability, snowpack, river crossings, wildlife, park or land closures, and forest fires. Participant’s cost of a Trip will never change due to itinerary changes. Payments previously made by Participants to Wildland are not refundable for itinerary changes or park or land closures.
IF A TRIP OR RESERVATION IS CANCELLED DUE TO CIRCUMSTANCES BEYOND WILDLAND’S CONTROL, including but not limited to public land closures, civil unrest, public health emergencies, or natural disasters, and no alternate itinerary is available, A TRIP CREDIT WILL BE ISSUED EQUAL TO THE FULL AMOUNT PAID BY PARTICIPANT MINUS ANY NONREFUNDABLE EXPENSES INCURRED BY WILDLAND. REFUNDS ARE NOT OFFERED IN THESE SITUATIONS.
TRIP INSURANCE
TRAVEL SE
This product is the best-selling for Wildland Trekking. The policy includes trip cancellation protection in addition to medical and emergency evacuation benefits. All US Residents are eligible for the Travel SE product. It is NOT a CANCEL FOR ANY REASON product.
TRAVEL LX
US Residents (Except New York) are eligible for Travel LX product. The policy includes trip cancellation protection in addition to increased medical and emergency evacuation benefits. The Travel LX policy also INCLUDES Cancel for ANY REASON. To be eligible you must purchase the policy within 20 days of initial trip payment, insure 100% of your pre-paid trip costs, and cancel 2 or more days prior to departure. A CANCEL for ANY REASON Claim reimburses a maximum of 75% of the trip cost.
